About the client

As a statutory body under public law, the KVH is responsible for ensuring outpatient medical and psychotherapeutic care in the city-state of Hamburg. The KVH ensures that medical help is available around the clock if needed.

By setting quality standards for medical practice, the KVH ensures consistently high medical and psychotherapeutic care. It also organizes the medical emergency service in Hamburg.

Additionally, the KVH represents the interests of Hamburg’s physicians and psychotherapists. It negotiates with health insurance associations on fees and the budget for medication reimbursement. The KVH also advises members on all matters concerning statutory medical practice — from pharmaceutical consultation to billing and economic viability.

Initial situation

The digital agency sitegeist was awarded the contract for the relaunch of the extensive and growing website. The website is not only an important information tool for KVH members, but also a helpful tool for the citizens of the Hanseatic city when it comes to services offered and searching for doctors.

The relaunch took place parallel to the ongoing operation of the website and required a great deal of organization and foresight on the part of the agency and KVH.

The project included the development and implementation of a holistic relaunch concept. The Hamburg Association of Statutory Health Insurance Physicians had already analyzed the target groups and stakeholders and, on this basis, developed a strategy and a rough concept, which we refined together with the KVH project team and implemented both technically and in terms of content.
The aim was to create a modern homepage with a range of value-added services for both the KVH itself and the user. User-friendliness was to be improved and the graphic presentation given a serious design with modern menu navigation. The integration of editorial review workflows should speed up and simplify KVH's internal processes.

The pages should be able to be optimally displayed and used on all current and foreseeable mobile and stationary screens and browsers and become more user-friendly, clearer and more attractive thanks to a new navigation concept and menu as well as a powerful search function.

ltsThe content structure, performance, up-to-dateness and control of the content were also important. In order to enable the project to be completed on time, the aim was to transfer the existing content.

Analysis

In order to make the relaunch as smooth as possible, the first step was to analyze the existing website in detail and formulate the goals for the future web presence.

Together with the client, we created a coherent concept for the website and developed a project plan that ensured the time and personnel resources were available during the relaunch.

Implementation

The new website combines a clearly structured, contemporary design with maximum accessibility. In order to better present the work of the KVH, the homepage focuses on the latest news. Relevant service functions have been revised, optimized and redesigned. 

The heart of the site is the physician search, which allows convenient and quick access to information on doctors in Hamburg. The locations and contact details of the practices are clearly displayed in a map view.
An appointment calendar provides doctors with information on upcoming training courses. The extensive database of the old platform was migrated to the new Content-Management-System for the new website.

The training of the various editors and their subsequent support by sitegeist made it possible for the website to be filled with content and go live at the same time as planned.

The result is a complex portal for both the client and website visitors that is impressive in terms of structure, presentation, technology and functionality.

The result

The result is a complex portal for both the client and website visitors that is impressive in terms of structure, presentation, technology and functionality. The use of Neos as Content-Management-System makes it much easier for the client's editorial team to maintain its extensive website.

The result is a complex web portal that presents a wide range of content in a tidy and contemporary way. Doctors, patients and interested visitors can find the central information and functions with just a few clicks in the clear page layout. In addition, website visitors are offered the opportunity to obtain information around the clock on the service-oriented pages and to benefit from the new website's wide range of interaction options.

All the in-house developments mentioned were integrated with the aim of reducing the administrative workload for the customer through clear structures and ease of use. In addition, great importance was attached to optimizing the portal functions for the end user in order to strengthen the web portal in its role as a link between doctors, patients and the Association of Statutory Health Insurance Physicians.

COVID-19 online shop

When the coronavirus pandemic struck during the initial phase of the website project and protective equipment such as masks, gloves and gowns became scarce, the procurement and distribution of this equipment to thousands of self-employed doctors in Hamburg was centralized and placed in the hands of the KVH.

Because the manual organization of this effort was considered impractical, the decision was made to implement an online store solution.

As we were already quite deeply immersed in the technical implementation of the relaunch, we quickly took over the implementation in the middle of the project. Time was also of the essence, so the first version of the store went live less than five weeks after the kick-off. In the meantime, PCR test mandate forms could also be ordered via the store.

Different interest groups had to be taken into account in the project

  • The store offers doctors simple and secure access for their needs
  • The order form itself is a React JS application with optimization towards user-friendliness
  • For the logistics company, the store provides a minimal, customized ERP system to integrate the orders into their workflows
  • Several Backend modules were developed to provide the logistics company with customized views and forms for their needs
  • As the extent of the reporting options required was not known at the outset, we opted for event sourcing of the store, i.e. everything that happens in relation to medical staff, quotations and orders is recorded and can therefore be analyzed later if required.
  • In order to provide editors with a simple, familiar interface, the offer catalog is implemented using the Content Repository and the Neos UI
  • Restrictions such as maximum quantities can be configured per specialist group

Neos Award 2021

sitegeist won the Neos Gold Award 2021 for this outstanding project, which was implemented with great attention to detail. With Sitegeist.Bitzer, some valuable open source packages were made possible to better manage the content lifecycle of Neos. Sitegeist helped implement an online store for protective goods within a very short time to combat the pandemic, which showed their dedication to the project.

With a rather minimalistic design, a lot of emphasis was placed on accessibility and clarity. The website comes with many features such as a doctor finder and the aforementioned online store - based entirely on Neos.

Highlights

  • Roles: Special roles have been defined to restrict and simplify workflows
  • Review: An editorial review workflow has been set up to remind editors to review documents after a certain time
  • Editors to review documents after a certain timeerp. The packages Sitegeist.Bitzer and Sitegeist.Bitzer.Review were developed for this purpose.
  • Semantic content: On the old website, content was mostly stored in rendered HTML without any semantics. This led to an uncontrolled growth of unstructured links on the entire website. After the import, this was replaced by semantic node types such as news magazines and articles, events, FAQs, etc.
  • Multi-site approach: other KVH websites such as arztruf-hamburg.de are subsequently and efficiently transferred to the new installation
  • Simple language: All content can be provided by the editors in simple language
  • Doctor finder: Doctors can be easily found using filter and sorting options such as distance, opening hours, specialization, accessibility features and much more
  • Documents: A central component of the site are the documents necessary for KVH members, such as contracts, forms, etc. The search offers a full-text search via PDF content as well as helpful filter and sorting options
  • Hall and catering bookings: Halls and catering can be booked on the website
